1. Who we are

Chimtech Solutions Ltd ("Chimtech", "we", "us", "our") is a company registered in Kenya, based at Kasarani Business Centre, Nairobi. We provide solar installation, borehole drilling and equipping, and electrical services. This privacy policy explains how we handle personal data you provide when contacting us through this website.

2. What data we collect

When you submit the quote request form on this website, we collect the following personal data:

• Full name
• Phone number
• Email address
• County or location
• Project details you describe in your message
• Service type selected (solar, borehole, electrical or solar borehole)
• Service-specific information (e.g. estimated daily water need, system type preference)

We do not collect sensitive personal data (health data, financial account details, biometric data) through this website.

3. How we use your data

We use your data exclusively to:

• Respond to your quote request or enquiry
• Prepare and send you an itemised quote for the service you requested
• Contact you about the status of your enquiry or quote
• Send follow-up communications if you have not responded to a quote (maximum two follow-up contacts)

We do not use your data for marketing, profiling, or automated decision-making. We do not add you to any mailing list without your explicit consent.

4. Legal basis for processing

We process your data on the basis of your consent (you submitted the form voluntarily) and in pursuit of our legitimate interest in responding to business enquiries, in accordance with the Kenya Data Protection Act 2019.

5. How we store your data

Your form submission is received via Web3Forms, a third-party form processing service (web3forms.com). Web3Forms forwards the submission to our business email address (info@chimtech.co.ke). We do not operate a customer database; your data is held in our email system.

Web3Forms' privacy policy is available at web3forms.com. We are satisfied that Web3Forms processes data in a manner consistent with applicable data protection law.

6. How long we keep your data

We retain your enquiry data for a maximum of three years from the date of your submission, or for the duration of any project contract arising from it, whichever is longer. After this period, we delete the data from our email archive.

7. Who we share data with

We do not sell, rent, or share your personal data with any third party for commercial purposes. Data is only shared:

• With Web3Forms as the form delivery service (described above)
• Internally within Chimtech staff, on a need-to-know basis, for the purpose of handling your enquiry
• If required by law or a Kenyan court order

8. Your rights

Under the Kenya Data Protection Act 2019, you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (subject to any legal obligations to retain records)
• Withdraw consent at any time (this does not affect processing that occurred before withdrawal)
• Lodge a complaint with the Office of the Data Protection Commissioner (ODPC)

To exercise any of these rights, email us at info@chimtech.co.ke with the subject line "Data request". We will respond within 30 days.

9. Cookies and analytics

This website currently does not use cookies for tracking or analytics purposes. If analytics tools are added in future, this policy will be updated and a cookie notice will be shown.

10. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Continued use of this website after a change is published constitutes acceptance of the updated policy.
